AI for fiduciaries and bookkeeping firms
Your clients send receipts as photos, PDFs and paper, often late and often incomplete. We build AI that reads these documents, prepares the bookings and chases what is missing. Your team keeps the final check and the client relationship.
What slows you down today
Receipts in every format
Photos from phones, scanned PDFs, emails with three attachments. Someone has to open each one and type the figures into the accounting system.
Quarter end and year end peaks
VAT returns and annual accounts all land in the same weeks. Skilled staff spend those weeks on data entry instead of review and advice.
Chasing clients for documents
Missing receipts, unclear bank items and open questions go back and forth by email. Tracking who still owes what takes time on its own.
Where AI helps
Document and invoice processing
Invoices, receipts and bank statements in German, French or Italian are read, and a booking proposal with account and VAT code (for example 8.1% or 2.6%) is prepared for Bexio or Abacus.
Email and inquiry triage
Client emails are sorted by client and topic, attachments are filed, and a reply draft is ready for the responsible person.
Process automation and integrations
Lists of missing documents per client are created automatically and reminders go out on a schedule you set.
Internal knowledge assistant
Your internal guidelines, client agreements and checklists become searchable, so new staff find the house rule for a case without asking a colleague.
Receipt processing for a ten-person fiduciary
- Starting point
- A fiduciary keeps the books for about 120 small businesses in Bexio and Abacus. Each month around 3,000 receipts arrive by email, upload and post, and are entered by hand.
- What we build
- An AI step reads each receipt, matches it to the client, and proposes account, VAT code and amount. Bookkeepers review the proposals in a list and approve or correct them before anything is posted.
- Expected result
- We would typically expect manual entry time per receipt to fall by 60 to 70 percent, with the freed time going to review and client questions.
